Exploring Similarities: national and international research management and administration

Volunteers wanted!

Would you like to help with the smooth running of the Conference? Whether this is your first conference or you're an experienced attendee, volunteering is a great way to help the organisers and meet other members.

There are a number of roles for volunteers, including working on the registration desk or in the conference office, acting as a location guide or bus marshal, delivering and handouts and other materials to meeting rooms and summoning assistance e.g. with technical problems, and acting as a room monitor.

Room monitors are responsible for checking that all speakers and the session chair (where appointed) are present at the start of the session; distributing handouts in the meeting room; making sure attendees are in the right session; timing the session; trouble shooting room problems; and helping the speakers if required.

Room monitors will be able to attend their normal sessions, but must agree in advance of the conference which session(s) they will monitor, and must not change this without arranging a replacement monitor. They are required to attend a short briefing meeting the evening before their monitoring (i.e. at approx 5.30 on Monday 16th for Tuesday monitors, and at approx 5.30 on Tuesday 17th for Wednesday monitors). Monitors who are unable to attend their designated briefing session must make alternative arrangements to be briefed, in advance of the conference. Room monitors should be present in their designated meeting room, no less than 15 minutes before the start of their session.

All other volunteers (registration, guides and marshals, delivery) will work approximately 3 hours, either as one continuous shift (e.g. Tuesday morning registration), or in two or three shorter sessions predominantly over the scheduled break periods. As this will mean that volunteers will miss part or all of some conference sessions, ARMA will pay £50 as a reduction on registration fees for each volunteer. Payment will be made on completion of agreed shifts, to the volunteers’ institutions.

Volunteers will be required throughout Tuesday 17th June, with smaller numbers required on Monday 16th and Wednesday 18th.

Volunteers will be required to attend a short briefing session, including a tour of the conference venue, prior to their shifts. Details may vary according to the roles allocated to each volunteer, but they are likely to be at approx 10.30 on Monday 16th for Monday volunteers, approx 5.30 on Monday 16th for Tuesday volunteers, and at approx 5.30 on Tuesday 17th for Wednesday volunteers.
